What are documents?

Centralized file storage for your organization. Upload PDFs or images, preview them in-app, and keep every revision without losing track. Files are only visible to people in your workspace.

Key concepts

  • Document: The item you see in the Files list, with a title and a current version.
  • Version: Every upload becomes a version. You can switch which version is current at any time.
  • Share link: A time-limited public link you can send to someone outside your workspace. You can revoke it whenever you want.

Uploading and previewing

  • Go to Files -> Upload. Drag in images or PDFs (up to 25 MB) and upload up to 3 at once.
  • Thumbnails and page counts are generated automatically for PDFs and images.
  • Preview PDFs with zoom and page controls; images, audio, and video open inline. Text shows a basic preview. Download is always available.

Versioning

  • Use “Upload new version” to replace the current file while keeping history.
  • Switch back with “Make current” on any older version.
  • If you remove a version and it was current, the latest remaining version becomes current.

Renaming and duplication

  • Rename changes how the document appears everywhere (list, detail, versions).
  • Duplicate makes a new document with the same content and thumbnail. Use it for templates or branching without adding to the original version history.

Sharing externally

  • Create a share link with a set expiry (1 hour, 24 hours, 7 days, or 30 days). You can also email it directly.
  • Recipients see a branded download page and can fetch the file until the link expires or you revoke it.
  • Track views, downloads, who created the link, and when it was first accessed.

Deleting and bulk actions

  • Delete a single document from its page or select many from the grid to remove them at once.
  • All versions and previews go away, and any share links stop working. Deletion cannot be undone.

Common workflows

  • Store contracts as PDFs, share externally with a 24-hour or 7-day expiry, and track downloads.
  • Keep redlines as versions, then revert if a new draft regresses.
  • Duplicate a baseline form or asset to collect new signatures without touching the original history.
  • Keep a clean asset library and avoid emailing attachments; share links expire automatically.
